Administrative Assistant

POSITION DESCRIPTION

Paradiso Resort & Spa is seeking a detail-oriented and professional Administrative Assistant to join our team. The ideal candidate will have a strong background in the hotel or hospitality industry, excellent organizational skills, and a passion for providing outstanding support to our operations. This role is critical in ensuring smooth day-to-day administrative operations while upholding the high standards of our luxury resort.

RESPONSIBILITIES:
  • Provide administrative support to management and various departments within the resort.
  • Handle phone calls, emails, and correspondence with professionalism and efficiency.
  • Maintain and organize schedules, including meetings, appointments, and travel arrangements for management.
  • Prepare reports, presentations, and documents as required by the management team.
  • Manage office supplies, ensuring adequate inventory and placing orders as needed.
  • Assist with processing invoices, payments, and other financial transactions.
  • Coordinate and maintain records of contracts, permits, and licenses.
  • Support HR and recruitment efforts, including maintaining employee records and assisting with onboarding.
  • Respond to guest inquiries and direct them to the appropriate departments when necessary.
  • Ensure compliance with company policies and procedures in all administrative tasks.
EXPERIENCE

The successful applicants will possess the following skills:

  • Experience: Minimum of 2 years of experience in the hotel or hospitality industry in an administrative or similar role.
  • Residency Requirement: Must be a U.S. Citizen or Permanent Resident in Saipan.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and administrative tools.
  • Strong organizational and time-management skills, with attention to detail.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • A professional demeanor and a commitment to confidentiality.
  • Knowledge of hospitality operations is a plus
